Tutorial: an As-Built and every asset into Simpro, after the install

What you'll learn

  • Start a takeoff on a Simpro job and mark its sheet complete
  • Make an As-Built and adjust it to what was installed
  • Turn it into an Asset Plan with only the asset items
  • Create or match every site asset in Simpro, and download the asset summary

Each step below has a ▶ time: it plays the video from that step.

The steps

  1. New project: under Simpro quote or job choose Update a job and type the job number. Its customer and site come with it. Add the floor plan: its sheet number and scale are read off the drawing. See Takeoffs on jobs.
  2. Choose the Count tool (C): with no item picked, the Add Count items panel opens on your Simpro catalogue. The smoke detector, extinguisher and exit sign show the Asset badge because they're set up as assets in Simpro. Tick them and the fire-rated cable (its type set to Length), Add 4 items, and click each one on the plan; pick the next under In this takeoff. When Turn this into an asset? shows, click No: the Asset Plan creates the assets after the install. Then run the fire-rated cable with the Length tool (L). See Count items.
  3. In the Drawings tab, click the ✓ (Mark complete) on the sheet. It locks until it's reopened, so the takeoff stays as it was quoted.
  4. Click As-Built… on the same sheet and choose Copy the marks. With the select tool (V), drag any point to where it was really installed, and choose the Count tool and pick the item under In this takeoff to add what was added on site. As-Built sheets never add to the price.
  5. Click Asset Plan on the As-Built. It takes only the asset items (the cable stays behind), and each point on it becomes an asset on the job's site.
  6. Right-click an asset on the Asset Plan and choose Assign all N. It zooms to each point in turn: click Create new, then Next →, and the asset is created on the site in Simpro. Done on the last point.
  7. For an asset that's already on the site, choose it from Match existing… instead of creating it again. Fill in its fields (here Location): each one is saved to Simpro as you leave it. See As-Built drawings and Asset Plans.
  8. Export ▾ → Asset summary PDF…: the Asset Plan with every asset symbol, then a table of each asset, its type, Simpro asset number and location. Download it, or Send to site to attach it to the site in Simpro.
Filling in many assetsWhile stepping through with Assign all, Use the field values entered for the rest copies a value you type (a location, an install date) onto the next points. Untick it when each asset needs its own.
Handing overMarking an As-Built complete (✓) sends its PDF to the job's attachments in Simpro.
